Catalog and Curriculum Forms Request

Blanket Curriculum Substitution Request Instructions and Policy
Blanket Curriculum Substitution Purpose: Grant substitutions for curriculum requirements listed in the catalog. This can be due to changes in required coursework from catalog to catalog, the creation of new courses, change in units, deactivation of a course, etc. Blanket subs are intended to apply to an entire catalog, not just to a single term.
Completing the Form: Requests typically come from the department chair of the department where the curriculum resides. However, sometimes blanket substitutions are drafted by someone other than the department chair. In these cases, please indicate on the proposer line the person who is drafting the the blanket substitution or who could be contacted if questions arise. Keep in mind, a consultation memo will be needed if the requirement being changed is a course that is offered outside of your home department.
- List the catalog years that are affected by the requirement. Please note you can only request published catalogs. No future catalogs.
- List the major(s), minor(s), concentration(s), or specialization(s) that will be affected by the requirement. If the major or concentration name has changed over time, indicate the precise name for each catalog year listed.
- List the original requirement as published in the specified catalog(s).
- List the new proposed requirement, and the original requirement.
- List the explanation for the change. What are you trying to accomplish with this substitution? If there is a change in units, how will the excess unit be applied or how will the deficient unit be made up (i.e. free electives, tech electives, approved electives)?
Once completed, the information will be reviewed by the Office of the Registrar. If there are any questions, you will be contacted via email. If there are no questions, the form will be created and routed for the appropriate signatures by the Office of the Registrar. Any questions, please email catalog@calpoly.edu.
Blanket Substitution Policy: For a blanket substitution to be considered, a threshold of at least 25 students must be met. Blanket Substitutions that do not meet this threshold, or those that have parameters/complexities that prevent them from being built into the degree audit (excluding "Hide from Advice" substitutions that include transfer student, changing of major, or change of catalog) will not be approved. If the blanket substitution is denied due to the threshold not being met, then a list of the students will be provided to the department and evaluator so that individual petitions can be submitted, or a new solution can be determined. Departments should consider drafting blanket substitutions for "transfer credit" rather than "transfer students." Transfer credit blanket substitutions may be built in the DPR. Transfer student blanket substitutions are not buildable and must be handled manually by the evaluator. Transfer credit blanket substitutions can be hide from advice, so we do not advertise the option.
Request to Add Approved Electives Instructions
Request to Add Approved Electives Purpose: To add courses to a list of approved electives, technical electives, etc. for curriculum listed in the catalog. This can be due to changes in required curriculum from catalog to catalog, the creation of new courses, deactivation of a course, etc. If a course is newly listed in a new catalog's list of approved electives, this form is required in order to apply that course to prior catalogs.
Completing the Form: This form should come from the department chair of the department where the curriculum resides. Please indicate on the proposer line the person who is drafting the the Add Approved Elective form or who could be contacted if questions arise. A consultation memo will be needed if the requirements being added is a course that is offered outside of your home department.
- List the catalog years that are affected by the requirement. Please note you can only request published catalogs. No future catalogs.
- List the major(s), minor(s), concentration(s), or specialization(s) that will be affected by the requirement.
- Type of elective listed in the program requirement in the catalog. For clarity, please use the exact terminology as published in the catalog for that elective area.
- List the new course(s).
